1. Purpose and Scope
This charter sets forth the responsible procurement policy of AppCraft, an ISO 20121-certified provider of SaaS solutions for the events industry. It applies to all purchases of goods, services, and work performed by AppCraft in the course of its business activities, including:

Technical Services and Digital Infrastructure (hosting, third-party SaaS, development tools)

Professional services (consultants, freelancers, specialized firms)

Purchases of Supplies, Materials, and Equipment

Event services related to corporate life (seminars, team-building activities)

General Services (Facilities, Transportation, Food Services, Health Insurance, Wellness)
This policy is part of AppCraft’s Responsible Management System (RMS), which is certified to ISO 20121:2024. It meets the requirements of Clause 8.3 of the standard and is based on the recommendations in Annex B and the ISO 20400 standard (Responsible Procurement).
This policy applies to all AppCraft employees who are required to incur expenses or select service providers, and applies regardless of the amount involved.
2. Guiding Principles
AppCraft's procurement practices are guided by the four principles of sustainable development set forth in the ISO 20121 standard:

3. Policy Objectives
AppCraft is committed to achieving the following goals in its procurement activities:
3.1 Reducing the Environmental Impact of Our Purchases

Prioritize service providers committed to reducing their carbon footprint

Promote online services and digitization to reduce the need for in-person visits

Incorporate digital sustainability criteria into our selection of third-party SaaS tools

Limit unnecessary purchases and extend the lifespan of equipment
3.2 Promoting Social and Economic Equity

Strictly adhere to contractual payment terms, particularly with regard to microbusinesses and small and medium-sized enterprises (SMEs)

Give preference to local service providers in the Île-de-France region to support the local economy

Reject any service provider whose practices violate fundamental human rights or labor laws

Promote diversity and inclusion in the selection of service providers
3.3 Ensuring Integrity and Transparency

Base every purchasing decision on documented, objective, and traceable criteria

Prevent any conflicts of interest in the selection process

Document and share the results of supplier evaluations

3.4 Exercising Our Duty of Care

Assess our service providers’ CSR practices before entering into any contracts

Include sustainability clauses in our contracts and purchase orders

Support our suppliers who are new to sustainable development rather than excluding them outright
4. CSR Evaluation Criteria for Service Providers
All new service providers are asked to complete the AppCraft CSR questionnaire (available via HubSpot) before entering into any contract. The criteria evaluated cover five areas:

Recurring service providers are re-evaluated annually. A service provider that refuses to complete the CSR questionnaire within 30 days will have its business relationship suspended pending compliance.

Competitive Bidding Rules

Payment Terms
AppCraft is committed to adhering to the following payment terms, in accordance with the LME Act and the spirit of fair trade as set forth in Annex B of ISO 20121:

Payment due within 30 days of the invoice date for microbusinesses and small and medium-sized enterprises

Payment in accordance with the contractual deadlines for other service providers

Zero late payments: Any delay will result in immediate corrective action
