How to organize a digital event: 4 essentials for a successful digital event

With three-quarters of B2B events canceled or postponed in 2025 and the resumption of in-person events increasingly delayed, the publication of the 2025 event barometer by L'EVENEMENT in collaboration with AppCraft has allowed us to realize the extent of the impact of the COVID-19 crisis on our daily activities.
For many event organizers, it was necessary to start from scratch overnight and source different solutions capable of overcoming this unprecedented situation.
But organizing a digital or phygital event can't be improvised! There are a number of best practices that can easily give your event more visibility and resonance and help you organize it with greater peace of mind 🙂 AppCraft Events is doing the hard work for you this week and revealing its four essentials for a successful digital event. As a bonus, we're introducing a new phygital interview format!

1 – Scripting: the key to a successful digital event

Poor interaction between speakers and participants, a lack of guidance on installing and using digital solutions for your event, timing that doesn't particularly highlight your key moments, the pace of your digital seminar day running out of steam...
Organizing a digital event cannot be improvised and requires careful planning! One of the key steps in this process is scripting. This is what will allow you to recreate the "wow effect" of physical events, even behind your screen. Start your event with digital, interactive, and educational tutorials. Right up to the big day, with a sequence of highlights coupled with live interactive modules, or a breakdown of your highlights for those who couldn't attend. Finally, right up to the management of your post-event activities, your script is built step by step ;). And who better than digital experts, with years of experience in this field, to support you in this process?

2 – Mix the media

A good dose of live content, a dash of quizzes, all sprinkled with a pinch of live questions for the speaker... Unfortunately, we're not going to give you a magic formula today 😉 Each use case is unique and requires a specific digital mix. Nevertheless, we recommend that you keep your options open and let your creativity run wild! Don't hesitate to consider diversifying the media you use for your live or in-person events. A good example is the digital format.

3 – Think about your carbon footprint!

What is the difference between someone who meets up with other participants in their city or takes part in an event behind their screen, and a participant who travels halfway across Europe to attend an event? Hundreds of kilograms of CO2. The carbon footprint of your event does not only encompass issues relating to ephemeral material goods or physical structures. It must be considered holistically. Logistics, paper documents, etc. You have the power to reduce this impact, and digital technology is a powerful tool! Provided you choose partners who are committed to a #GreenIT 😉 ) to help you in this endeavor.

4 – ROI: measure your next digital event

Learning from your mistakes is essential for progressing in organizing your B2B events. Choose platforms and partners that allow you to closely monitor your participants' journey and their preferences so that you can constantly improve and better meet their expectations. Online reports, click-through rates per module deployed, and participant rates are all useful tools for getting a realistic picture of how your event is unfolding.
To conclude this article, we are introducing a new format for interviews with digital players: service providers, partners, advertisers, agencies, etc. We are giving them the floor to talk about the future of digital events 😉
This week, we welcomed Alexis Thai from the company Vodalys to discuss fully digital formats, video recording, and finally our partnership for organizing phygital events 😉

The Phygital Vodalys interview:

Q1: Hello Alexis, please introduce yourself in a few words. What does Vodalys do?
Hello Sacha, I am the sales manager at Vodalys. Vodalys was founded in 2008 and specializes in broadcasting live events on the internet. We offer customized live streaming services to our corporate and institutional clients.
In 2019, we launched Vodalys Studio, a cloud-based live streaming platform. It allows you to create multi-source live streams (smartphones, cameras, webcams, etc.) independently or with the support of our teams to broadcast an event live on a website or on social media.
Q2: With the COVID-19 crisis, 100% digital broadcasting formats have become essential. How has your business adapted to these unprecedented times?
The Vodalys Studio platform already allowed events to be broadcast live to a remote audience. With the health crisis and lockdown measures, we have taken the logic of dematerialization even further by coupling our live streaming platform with existing video conferencing solutions in order to bring speakers together virtually and offer enriched live video content (adding video media, jingles, and graphics) that is more appealing than a simple video meeting. Our teams are now able to operate a live event remotely.
Q3: Are there any new expectations from your traditional customers regarding fully digital formats?
Yes, indeed, our customers are aware of the new production constraints related to the crisis. However, they still want to offer their employees and customers the best possible digital experience. With audiences currently being bombarded with information, they feel it is necessary to engage them. Naturally, this is done through live video content, but also with anything that makes events more interactive. There is a real demand for solutions that allow the audience to actively participate, even remotely behind a screen, as if they were in the room.
Q4: Finally, what is the main added value of combining your solution with that of digital event players such as AppCraft?
In our opinion, the AppCraft solution fits perfectly into this phygital strategy by connecting event organizers with their audience, offering a wide range of interactive features. Live streaming in general, and therefore the Vodalys Studio platform, shares this same ambition of allowing participants to experience the event as if they were there. It seemed natural to us to combine our solution with that of AppCraft to offer a complete experience in fully digital formats.
